Sharing and collaboration in Microsoft Teams is primarily done through file sharing in channels or chats, online meetings with screen sharing, and the use of integrated productivity tools such as SharePoint. To share a file, you can do so from OneDrive or upload it from your computer, allowing simultaneous editing by multiple users. Team channels have their own file libraries for group-specific collaboration, and meetings allow for live presentations and discussion.

Key ways to collaborate in Teams

  1. File Sharing
      • You can upload files directly from your computer or share them from OneDrive.
        • From OneDrive: Go to “OneDrive” in Teams, locate the file, select “Share,” and add the names or groups you want to share with. You can also get a link or adjust sharing permissions.
      • From a chat: Click the paperclip icon to upload a document from your computer or browse OneDrive. The document is sent to the chat and can be viewed and edited in real time by everyone in the chat.
      • In team channels: Each channel has a file folder where files can be uploaded and shared with all channel members. Collaboration is easy, and changes are saved automatically.
        • Files shared in channels are stored in the SharePoint library associated with the team.
      • Screen sharing: During a meeting, you can share your screen to present content, allowing others to view and interact, and the organizer can manage who can present.
  2. Channels and Chats
      • Each channel has its own conversation area and file library.
      • Private chats also allow for quick document sharing.
  3. Real-time collaboration
      • Simultaneous editing: Multiple users can edit a document (e.g., Word) at the same time, with changes being saved automatically and version history.
      • Meeting management: The meeting organizer can have full control over the meeting, such as allowing or removing presentation permission, muting participants’ microphones and cameras, and giving the floor to those who raise their hands.
        • Support for screen sharing, presentations, and real-time collaboration.
        • You can record meetings and use features such as Whiteboard for brainstorming.
  4. Integration with Microsoft 365 Tools
      • SharePoint for document management.
      • Planner for tasks.
      • Power BI for reports and dashboards.
  5. Collaboration with external organizations
      • External sharing: You can share a channel with teams inside or outside your organization by configuring access permissions.
      • Shared channels: You can add other organizations to shared channels, enabling secure collaboration with external users (guests) through the Microsoft Entra administration center.
