PT

SharePoint is a collaboration service designed for teams and organizational units, allowing for:

    • Centralized document management;
    • Creation of shared libraries;
    • Permission control by group;
    • Workflow automation;
    • Internal communication pages and portals.

While OneDrive is a personal storage space, SharePoint is built for collective work, ensuring content belongs to the team and not to an individual.

3. When to Use SharePoint vs. OneDrive vs. Teams?

SCENARIO BEST TOOL EXPLANATION
Personal file storage OneDrive Private workspace for individual files
Ongoing team collaboration Teams + SharePoint Team channels integrate with SharePoint for file storage
Departmental or institutional portals SharePoint Best for structured communication, document libraries, and governance
File sharing with controlled permissions SharePoint Granular access control for users and groups

4. Best Practices

    • Establish Structure Early: build your site with clear navigation, document libraries, and logical folder organization.
    • Use Microsoft 365 Groups: group‑based permissions are easier to manage and more secure.
    • Keep Documents Inside Libraries: ensures versioning, metadata, searchability, and compliance.
    • Define Site Owners: assign responsible users to maintain governance, structure, and access policies.
    • Use OneDrive Sync for Offline Work: since there is no standalone SharePoint desktop client, offline work is done through the OneDrive sync client.
